The Brief
A wellness studio runs Facebook and Instagram ads to fill appointment slots. The ads work — leads come in. But what happens after the form submission is where most small wellness businesses break down.
The owner sees the lead notification between clients. She means to follow up but gets pulled into her next appointment. By evening, she sends a text. No reply — the prospect already booked with the med spa down the street that responded in 2 minutes.
I designed this end-to-end automation system to eliminate that gap entirely. From the moment a lead submits a form to the moment they become a paying client, no human intervention is required unless the system flags a hot lead ready for a personal touch.
Stage 1: Instant Capture & Response
A prospect fills out a lead form on the landing page or Facebook Lead Ad. The system triggers immediately.
- n8n webhook receives the form data and routes it into the pipeline
- Lead record created in the CRM with full form data, source attribution (which ad, which platform), and timestamp
- Personalized text message sent within 60 seconds: "Hi [Name], this is [Studio Name]. Thanks for reaching out about [service they selected]. I’d love to help you find the right treatment. Here’s a link to book a free consultation: [booking link]"
- Confirmation email with the studio’s branding, the specific service they asked about, and a direct calendar link
Why 60 seconds matters
The 60-second response window is the single highest-leverage moment in the entire funnel. Industry data shows that responding within 5 minutes makes you 100x more likely to reach a lead than waiting 30 minutes. Most small businesses respond in hours. This system responds in seconds.

Stage 2: Lead Scoring
Not every lead is ready to book today. The system tracks engagement signals and assigns a score that determines what happens next.
High-intent signals (score increases)
Opens the confirmation email (+5) • Clicks the booking link (+15) • Visits the pricing page (+10) • Replies to the initial text (+20) • Opens 3+ emails in the nurture sequence (+10)
Low-intent signals (score decreases over time)

Stage 3: Nurture Sequence (Days 1–14)
Leads who don’t book immediately enter an automated email and SMS sequence. Each message is timed and contextual — not generic blasts.
- Day 1 (2 hours after initial response): Email with a short guide: "What to Expect from Your First [Service] Session." Educational, not salesy. Positions the studio as an authority.
- Day 3: SMS check-in: "Hi [Name], just following up — still thinking about [service]? Happy to answer any questions. You can reply here or book a time: [link]."
- Day 5: Email with a client success story relevant to their selected service. Social proof that addresses the specific outcome they’re looking for.
- Day 7: Email with a limited-time offer: "Book your first session this week and get 15% off." Creates urgency with a real deadline.
- Day 10: Final SMS: "Hi [Name], I know life gets busy. If now isn’t the right time, no worries at all. Your consultation link stays active whenever you’re ready: [link]." Warm close that doesn’t burn the bridge.
- Day 14: If no engagement, lead moves to the cold tier. Enters a monthly drip with seasonal content and periodic offers.
Smart sequence logic
The sequence stops immediately if the lead books an appointment at any point. No one receives a “still thinking about it?” text after they’ve already booked. This requires real-time webhook communication between the booking system and the automation platform.

Stage 4: Appointment Conversion
Once a lead books, the system shifts from nurture to retention.
- 24 hours before: Automated reminder via text and email with appointment details, parking info, and what to bring
- 1 hour before: Quick text reminder: "See you at [time] today!"
- No-show handling: If the appointment is missed, automated text within 30 minutes: "We missed you today — no worries. Want to reschedule? [link]"
- Post-visit follow-up (24 hours after): "How was your visit? If you loved it, book your next session and get 10% off: [link]" plus a link to leave a Google review
Stage 5: Re-engagement (30+ days)
Cold leads and one-time visitors who haven’t returned enter a long-term re-engagement loop.
- Monthly wellness tips email — genuinely useful content, not promotional. Keeps the studio in their inbox without being annoying.
- Seasonal offers (quarterly) — tied to specific services: "Spring skin refresh," "Holiday stress relief package."
- Birthday automation — if collected during intake, automated birthday message with a gift offer. High open rates, high conversion.
- Win-back trigger — if a past client hasn’t booked in 90 days, automated sequence: "We miss you at [Studio Name]. Here’s 20% off your next visit."
Technical Implementation
n8n
The orchestration layer. Every trigger, condition, delay, and action is built as a visual workflow. The owner can see exactly what’s happening at each stage without reading code.
CRM
Lead records, engagement scores, appointment history, and segment tags all live here. n8n reads from and writes to the CRM at every stage.
Resend / SendGrid
Branded HTML emails triggered by n8n workflows. Template-based so the owner can update copy without touching the automation.
Twilio / SMS
Text messages triggered by n8n. Personalized with merge fields, timed to business hours (no 2am texts), and compliant with opt-out requirements.
